What QuickBooks + PingBell does together
Connect QuickBooks Online to PingBell in one click: approve the connection on Intuit’s side and PingBell wires the rest — no developer account, no webhook URLs, no API keys. From then on, the money you already record in QuickBooks shows up where the team can see it: a payment lands, the bell rings, and the total on the wall moves by that amount.
Three things can ring, each on its own counter:
- Payments — money received, whether a customer paid an invoice or you sold and collected in one step. On by default.
- Invoices — every invoice sent. The job is on the books before the money arrives.
- New customers — every customer added to QuickBooks.
Amounts come through in dollars, exactly as QuickBooks records them, so a goal bar on the board fills with real revenue.
Use cases
- The owner’s board. Payments received this month against the goal, invoices out, customers added — on the office TV and on your phone.
- Service businesses. Roofing, HVAC, plumbing, landscaping: the crew invoices from the field, the office hears the bell when the invoice goes out and again when it is paid.
- Agencies and consultancies. Retainers and project invoices landing, counted where the whole team sees them.
- Any business that runs on QuickBooks and wants the numbers out of the accountant’s tab and onto the wall.
Setup
- In PingBell, open Sources and click the QuickBooks tile.
- Approve access on Intuit’s sign-in — one round trip, back to PingBell.
- Pick what should ring the bell: Payments (default), Invoices, New customers.
- Design a board around the counters, or keep the ready-made one.
- Pair a screen — a TV running the PingBell app, or any browser tab.
Done. Total setup: about five minutes.

FAQ
Does this work with QuickBooks Desktop?
No — QuickBooks Online only. Intuit’s connection method for Desktop is different, and PingBell connects to the Online product.
How fast does a payment show up?
Moments after it lands in QuickBooks. Intuit sends PingBell a notification when a payment, invoice or customer is created; PingBell reads the record and rings.
Which payments count?
Both kinds of money in: a customer paying an invoice, and a sale recorded with the payment in one step (a sales receipt). Both land on the Payments counter.
Can I count invoices and payments separately?
Yes — each is its own counter, with its own sound and its own message, and you can put either or both on a board.
Does PingBell change anything in QuickBooks?
No. PingBell reads the records Intuit tells it about and never writes to your books.
Can I disconnect later?
Yes, from Settings in PingBell, which also revokes the connection on Intuit’s side.
